The Business Assistant is responsible for maintaining positive relationships with major auto lenders and ensuring timely funding of contracts. This role supports the dealership’s finance operations by assisting with compliance, documentation, and process adherence. The Business Assistant plays a key role in creating a seamless experience for customers while maintaining efficiency in financial transactions.

Essential Duties & Responsibilities

  • Identify and manage funding processes for finance contracts.
  • Collaborate with Business Managers to ensure process adherence and efficiency.
  • Assist in training new Business Assistants.
  • Prioritize deals to ensure customers are handled efficiently and quickly.
  • Accurately receipt cash deposits and verify all transaction payments.
  • Submit and rehash credit applications with lenders.
  • Maintain confidentiality of customer financial information.
  • Package, scan, and process funding for deals.
  • Monitor and update the Contract In Transit (CIT) account; update notes in DealerOPS for all unfunded deals.
  • Verify reserve payments and communicate with lenders regarding discrepancies.
  • Maintain accurate deposit logs.
  • Scan and log all F&I contracts for remittance daily.
  • Manage a high volume of business transactions while maintaining a professional and positive attitude.
  • Digitally load cash, finance, and lease deals efficiently with minimal supervision.
  • Perform other duties as assigned by management.
  • Maintain a professional appearance in accordance with brand dress code.
  • Support new processes and improvements to enhance employee and customer experience.
  • Exhibit high integrity, accountability, and dedication to customer satisfaction.
  • Ensure compliance with dealership policies and regulatory requirements.
  • Utilize dealership management systems (DMS), Microsoft Office, A2ZSync, and other relevant software.

Required Skills & Qualifications

  • Experience in automotive finance, business office operations, or related fields preferred.
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal skills.
  • Ability to manage multiple tasks in a high-paced environment.
  • Detail-oriented with a strong sense of accountability.
  • Proficiency in dealership software systems and financial platforms.
  • Punctuality and reliable attendance.

Education & Certifications

  • High School Diploma or equivalent work experience.
  • Ability to work independently while continuing to expand product and finance knowledge.
  • Valid driver's license with an acceptable Motor Vehicle Record (MVR).

Physical Requirements

  • Ability to communicate clearly and effectively.
  • Manual dexterity to operate computers, tablets, phones, and other office equipment.
  • Visual acuity for close-range tasks.
  • Ability to remain in a stationary position for extended periods.
  • Regular, punctual attendance is required.

  • Professional dealership setting with rotating shifts as determined by management.
  • Maintain a clean and safe work environment.
